We’ve made some updates to our email system to ensure a more secure and reliable distribution of email content to end users. With this change, core emails send from the DM solution will now be sent from “noreply@docuphase.com” as the sender.
It’s important to note that nothing will change as far as the user actions that generate an email. The only content change within the body of an email are to email notifications that were previously sent on behalf of another user. Moving forward, we’ve updated the body content of these emails to simply state which user triggered the notification. There are only 2 emails where this content change was made and both are Binder related emails for attachments and links. You can see the full list below.
Standard Workflow - initial setup of WF, Reassign, Delete user, groups, and other notifications
Email to the assigned user:
In this example, the department <andy RENAMED> and cabinet <cab with dates in folders> are used. Note, the email's body references the index information and document link. The user can access their document via the link and complete their action.
Reassigned user, “active”:
The user will receive the same email with the same information as above.
Deleted user:
In this scenario a WF task is assigned to a deleted user. An email will be generated and sent to the workflow owner. The body of the email will show deleted username and have a link to the assigned document.
Email sent to the “WF owner” if only one user assigned, if additional users assigned to the same task, no email will be generated:
Group user with valid email:
Here is what the emails will look like when a task is assigned to a group of users
Dynamic Workflow
In this example we will look at a cabinet <a time off request>, which is linked to a dynamic workflow. A dynamic workflow will generate the same messages as a regular workflow. In addition, dynamic workflows will send notifications with update tables, remove users from tables, delete users, etc.
Out of office -
When an Out of Office is set, the tasks assigned to that user will auto reassign and send to another user
Binder emails:
Binder emails will contain additional information in the body of the email. This includes the user who sent out the documents.
From the “Email attachments” section:
In this example a user chooses to Email Attachments out of the Binder tool
From the “Email Links” section:
This example email is issued when a user selects the "Email Links" option in the binder
